How it works

Auto resupply, start to finish.

Auto resupply

Patients join a plan once, and every replacement bills on schedule.

Co-pays applied for you

Every resupply invoice carries its payers, so the patient is charged their share.

Prices stay put

Each plan line keeps the price you set when you built the schedule.

Counted on its own

Reports split new setups from resupply, by clinic, company and brand.

Patients and clinicians

Clinician-led or patient-led.

Your clinicians run each plan, and patients authorize their own payments.

  • Start a plan from the chart, swap the mask or size, pause it, or end it.
  • Patients pay, save a card, join AutoPay or sign a bank debit agreement online.

The CPAP replacement clock

Eight parts sit on a CPAP patient's equipment record, each on its own replacement interval: the machine, the mask, the frame, the cushion, the filter, the tubing, the water tub and the headgear. The chart shows what was supplied, when it went out, and when each part is next due, so a clinician reads the whole clock on one screen.

The intervals come from your own catalogue, and your clinician decides what to act on. Turning the clock into revenue is one step: put the parts that repeat on an auto resupply plan at the price you set, and every renewal bills itself.

Part by part, with the funder intervals and the norvelle defaults side by side: the CPAP replacement clock.

Co-pays and payers

Two ways to take a co-pay.

Build each payer into the invoice, or collect in full and hand the patient the paperwork.

Build the co-pay into the invoice

Add each payer and its coverage rule once. Every auto resupply invoice applies them, and the patient pays only their share.

  • A rule is a percentage of a named base, or a fixed amount.
  • One invoice can carry more than one payer.
  • AutoPay charges the patient's share, not the whole invoice.
  • Claims reach the insurer electronically, wherever the insurer accepts them.
  • Bill the payer's share as its own invoice, so it ages separately.

Collect in full, hand over the paperwork

The patient pays the whole invoice and submits it to their insurer themselves.

  • An issued invoice prints three ways.
  • The original shows the full amount and no payments.
  • The insurer copy lists each payer portion and its rule.
  • The paid invoice shows what was received and what is left.

The insurer copy is for a payer already on the invoice. For an insurer that is not on it, print the original.

Sample

One insurer, one co-pay

One insurer, one co-pay
ItemAmount
Full face cushion, medium$38.50
Air filters, 12 pack$24.00
Heated tubing$72.00
Water tub$45.00
Invoice total$179.50
Private insurer 80% of the invoice total-$143.60
Patient owed$35.90

Adding a payer never changes the invoice total. The patient's portion is what is left, and AutoPay charges only that.

Sample figures, not a real patient. Invoice lines carry no tax unless the catalogue item is taxable, and respiratory supplies are set up zero rated.

Resupply when a programme pays part of it

A plan invoice carries a funding programme the same way a setup invoice does. Add the programme as a payer with its own coverage rule, a percentage of a named base or a fixed amount, and record the approval number it asks for. Every renewal then shows the full price, the programme's share and the patient's remainder.

The two balances move apart from there: AutoPay charges the patient's share and nothing else, the programme's share can be billed as its own invoice so it ages separately, and a denial is recorded once and settled by billing the patient, writing it off, or appealing. How a share is set up and how payer debt ages is on funding programmes and payer billing.

Approved exactly as agreed.

Plans, payments and consent work off one record, so a patient is charged only the way they authorized.

  • The AutoPay box is the patient's own choice, never ticked for them.
  • An enrollment covers only what it names: all invoices, or rentals only.
  • Bank debit runs on a signed agreement, and revoking it stops the AutoPay riding on it.
  • Plan prices are frozen, so every renewal bills what was agreed.
  • Every grant, pause and revocation is timestamped on the chart.
  • Card and bank numbers never reach norvelle.

The check-in

Nobody chases supplies.

The plan runs until someone changes it, and both sides can.

  • Your clinician reviews the plan with the patient and updates it on the chart.
  • The patient portal lets patients review, change and reorder their own supplies.
